Reader guide — using the IMS without touching Git

You don't need Git, a terminal, or any special software to use this management system. You need a web browser and your {{ORG_DOMAIN}} login. This page covers the four things everyone at {{ORG_NAME}} does.

1. Reading documents

The IMS lives in a private GitHub repository. Open the repository link from your onboarding email (or ask the {{ROLE_DOCUMENT_CONTROLLER}}), sign in, and browse:

  • Start at docs/index.md — the system homepage.
  • Documents render as formatted pages right in the browser. No download needed.
  • The header block at the top of each document shows its version, status, and owner. Only documents with status: Approved are in force.

2. Acknowledging policies

Some documents require your acknowledgement (new starters, and again when a policy changes materially). You'll get an email with two links:

  1. The document — read it.
  2. The acknowledgement form (Airtable) — pick your name, the document, and tick the attestation box.

That's it. Reminders keep coming weekly until the form is submitted — the campaign closes when everyone active has acknowledged, and the outcome is recorded honestly, including anyone outstanding.

3. Logging training

When you complete a training item (self-guided page under docs/training/, a course, a toolbox talk), log it through the training completion form link in the reminder email. Pick your name, the item, how you did it, and tick the attestation. Your completion shows up in the training register immediately.

4. Reporting hazards and incidents

Anyone — employee or contractor — can report a hazard, near miss, or incident, any time, with the hazard & incident report form. Describe what and where; the {{ROLE_OHS_COORDINATOR}} triages every submission. This is the quickest and most valued form in the whole system: reporting a hazard that never hurts anyone is the system working exactly as designed.
